Sexual Harassment Policy
Definition of Sexual Harassment
Sexual harassment is any unwanted behaviour of a sexual nature that makes someone feel offended, humiliated, or intimidated. It can include, but is not limited to:
Unwelcome sexual advances.
Inappropriate touching or physical contact.
Sexual jokes or comments.
Displaying sexually explicit materials.
Sending sexually explicit emails or messages.
Duty to Prevent Sexual Harassment
In accordance with the Worker Protection (Amendment of Equality Act 2010) Act 2023, effective from 26 October 2024, we have a duty to take reasonable steps to prevent sexual harassment in the workplace. This includes:
Implementing preventive measures such as regular training and clear communication of this policy.
Creating a culture of respect and inclusion.
Taking proactive steps to identify and mitigate risks of sexual harassment.
If you experience or witness sexual harassment, you should report it to your line manager. If you do not feel able to do so, report it to a Trustees or another senior member of the Club. Reports can be made in person or via email.
Handling Sexual Harassment Complaints
All complaints will be taken seriously and handled promptly and sensitively. If proven, we will take prompt and effective action. Any employee found to have engaged in sexual harassment may face disciplinary action, which may include dismissal. Volunteers and beneficiaries may also be subject to appropriate actions.
Procedure. The process will include:
Acknowledging receipt of the complaint
Conducting a thorough and impartial investigation
Keeping all parties informed of the progress
Ensuring confidentiality as much as possible
Subject to the outcome of an investigation, we may consider a range of formal and, potentially, informal options where both the CLUB and the person making a complaint think this is appropriate.
Informal Action. For example, this might include:
Explaining to the person who's been complained about why their behaviour was not acceptable and that it needs to change.
Arranging mediation between the people involved.
Formal Action. A formal procedure will be followed either:
When informal options have not or would not work or be appropriate or.
A formal complaint is made at the outset.
Disclosure of Sensitive Communications
We will handle sensitive communications with the utmost care. This includes:
Maintaining the confidentiality of all parties involved
Ensuring that any sensitive information disclosed during the investigation is protected
Following legal guidelines on privilege and disclosure to ensure that sensitive communications are only shared with those who need to know.
Supporting People in Speaking Up About Sexual Harassment
We recognise the importance of supporting individuals in speaking up about sexual harassment. We recognise that creating and maintaining an open, respectful culture is key to doing so and, to foster a safe environment for reporting, we will:
Reduce Psychological Barriers: Acknowledge the difficulty of speaking up and provide reassurance that reports will be taken seriously and handled with sensitivity.
Lessen Social Threats: Make it clear that the intention of reporting is to improve the workplace environment, not to target individuals.
Provide Clear Reporting Channels: Ensure that people know how and where to report incidents, and that they can do so without fear of retaliation.
Offer Support and Resources: Provide access to counselling and support services for those who report harassment.
Encourage a Speak-Up Culture: Regularly communicate the importance of speaking up and, if reasonably possible, provide training on how to do so effectively.
Additional Steps for Management
We also recognise that creating an open and respectful culture is primarily the responsibility of the Southey leadership team. To further ensure a harassment-free workplace, management will:
Include in Policies and Training: Ensure that our zero tolerance of sexual harassment is properly reflected in other policies, induction and on the job training.
Lead by Example: Demonstrate zero tolerance for sexual harassment through their own behaviour and actions.
Communicate Clearly: Communicate the importance of a harassment-free workplace and the steps being taken to ensure it.
Report Instances: Any complaints about sexual harassment will be reported to the chair and, if appropriate, other reporting action taken, such as to regulators.
Support for Affected Individuals
We will provide support to anyone affected by sexual harassment, including access to counselling services and adjustments to work arrangements if needed.

Season reports and photographs celebrating Southey's bowlers.
County and national champions, 14 district titles and three league successes. A season to remember.
Celebrating a successful season for Southey Bowling Club.
The season started slowly in the national team competitions. The men's A side went out in the first round of the Double Fours and Top Club, while the B side won three matches before losing the area final to Chipstead. The ladies also went out in the first round of the Top Club.
Jamie Tindall, Dan Capon, Dennis Hennessy and Charlie Souter won the county fours. Charlie also finished runner-up in the two-wood singles.
In the senior fours, Mike Parlour, Ian Birnie, Richard Frewin and David Thomas reached the final.
Jemma Tuohy won the county two-wood singles, and Yaz Hasan won the junior singles.
Yaz Hasan, Liz Anderson and Debbie Souter won the county triples and went on to claim the national title. Kate Capon, Shan Maylin, Liz Anderson and Debbie Souter did the same in the senior fours, winning both the county and national titles.
Kate also reached the national mixed pairs final with Richard Cushen.
Yaz and Jemma were part of Surrey's winning Amy Rose team. All the ladies mentioned above, together with Faye Ludlow, were part of the Johns Trophy team that reached the final.
Well done to all of you. It was great to hear Southey mentioned so many times at Leamington!
Amanda and David won the over-55 mixed pairs, and Mike and Faye won the mixed pairs.
Bev, Lee and David won the President's Triples, and the men won the Yonwin Cup.
Southey enjoyed success in the two-wood singles, unbadged singles, ladies' pairs, men's pairs, two-wood pairs, family pairs, ladies' triples, men's triples, open fours and mixed fours.
That brought the total across the district competitions to 14 titles — a terrific achievement.
In the NSL, Southey retained the Midweek Triples League title. We also won the Kingston & District League and the West Wimbledon Triples comfortably, going one better after finishing runners-up last year.

Annual General Meeting of Bowling Members · 12 October 2026
Minutes of the Bowling Members’ AGM held on 12 October 2026. Reports and accounts referred to in the minutes are not included in this copy.
Our President, Ian Birnie Chairman, welcomed the 23 Bowling Members present and opened the meeting by asking those in attendance to stand for a one minute silence as a mark of respect to members who had died during the past year.
The Notice convening the Meeting was read
Apologies had been received from 7 Bowling Members.
The Minutes of the Annual General Meeting held on Monday 27th October 2025, having been circulated were agreed as a true record proposed by Simon Brown seconded by David Thomas. Matters arising: none
All correspondence had been duly recorded and reported to the General Committee throughout the year. Recent SESW letters were given to Mick McGrath with Feedback from the Competition Secretary regarding the 2026 competitions. A message from Bowls Surrey regarding the new storage arrangements for the trophies was relayed to the meeting.
Reports:
• a) The Hon. Secretary’s Report 2026 attached Simon Brown offered thanks for the work undertaken by the Treasurer and Secretary.
• b) The Hon. Treasurer’s Report 2026 attached. David Thomas thanked Shan Maylin, John Clark and Barry Cunningham for assisting in the numerous cash-counts. A particular thank you to Rob Dodds for producing the accounts which are also attached.
The loss this year for the Club was £13,000; ways of reducing our costs and overheads were discussed. Staff costs were central to the problem. The gross sales required just to cover staff salaries on a weekday is about £250 and on most Mondays and Tuesdays off season that is not achieved (a detailed day by day analysis of financial contribution of the bar had been given to the Committee during the season for its review) . Money is also lost through regular maintenance of buildings and facilities eg air con, gates, white goods etc. It was discussed that the club needed to make a profit to make good any dilapidations to the clubhouse and other facilities. An increase in footfall was needed generally, additions of further regular event to add to already popular events and an increased number room hire for private events that were always lucrative. It was decided to create an “All Members Social Committee” to organise events. Lee Cappell and Peter Howell were keen to join such a committee.
In conclusion it was recognised that there were two ways forward:
1. increasing revenue with more members’ events 2. reducing costs and overheads
The following suggestions were put forward:
Increasing Revenue and Members
➢ extending marketing of club on an updated website
➢ open days next season
➢ more fun events eg Tossers’ Cup Day **
➢ internal darts and pool leagues to increase footfall **
➢ quiz nights to run twice per month, but it was thought members would not attend two per month
➢ more private rental events
➢ further ways to hire out facilities eg car parking
➢ introduce food sales but difficult to find catering volunteers
➢ extend event invitations to local bowling clubs **
Reduction of Costs
➢ closure of club during the off season
➢ closure of club on low footfall nights eg Mondays & Tuesdays
➢ “honesty bar” with selected volunteers to operate the bar
➢ retain upper room regular rentals with volunteers to open doors
➢ achieving a minimum level of ticket sales before committing to pay the performer **
• e) Ladies’ Captain Debbie Souter. No report given.
• d)Men’s Captain, Andrew Richardson’s report attached
• e) Chair of House and Bar, Ian Birnie’s report attached
